Calgary is home to eight public outdoor swimming pools across the city operated by the Calgary Outdoor Swimming Pool Association. Each summer, COSPA welcomes hundreds of Calgarians to our pools for fun and recreation. Now we are seeking a dynamic leader with both operational and strategic skills to join us as to help lead our non-profit board in fulfilling its Mission - which is to operate sustainable, safe, and welcoming public outdoor pools and swimming programs effectively and efficiently for all Calgarians.

The Leader of Operations, COSPA is responsible to the Board of Directors and ensures the organization's success by implementing our strategic direction and ensuring we achieve our mission and purpose. To do this effectively, you will provide leadership and management support to the Board of Directors, contractors/consultants, community members, and ultimately, the patrons of our eight community outdoor pools.

In this unique part-time role, you will oversee the following key areas: plan for and manage operations; support, and implement the Board Strategy; provide solid financial management; and, effectively promote the organization. This role requires an individual who seeks to collaborate and build strong partnerships across and within the organization, is forward thinking and has experience working in a management role.

CORE ACCOUNTABILITES:

A) Plan and Manage Operations

•Develop and manage yearly Operating Plan that supports the multi-year strategic plan.

•Provide oversight and leadership on all operational, maintenance, and capital programs.

•Work closely with pool managers and contractors to ensure all eight outdoor pools operate efficiently and effectively.

•Prepare and prioritize capital projects as per facility lifecycle plans and annual operating plans by working in collaboration with COSPA’s key contractors.

•Effectively manage day-to-day operations and administration which include ensuring sound bookkeeping and accounting practices are followed.

•Ensure website and on-line booking system are functioning well, prepare monthly attendance and operations reports, and quickly report any technical/software issues to the Board.

B) Support Board Strategy + Governance

•Work closely with the Board Chair, Board of Directors, and Board Committees to advance the direction established by the Board of Directors, as outlined in the Strategic Plan.

•Support the development of program, organizational and financial plans with the Board and carry out plans and policies authorized by the Board

•Provide support to the Board and its committees by monthly preparing meeting agendas, ensuring key decisions and actions are carried out

•Meet regularly with Board sub-committees and provide timely reports and recommendations that support strategic planning, financial performance, risk management, and overall sustainment of COSPA

C) Provide Effective Financial Management Services

•Together with the Board, prepare and manage annual operating budget and regular financial reports that deliver on objectives outlined in COSPA’s strategic and operating plans.

•Monitor the fiscal plan and all aspects of financial administration; this includes preparation of annual reporting required by the Alberta Societies Act and with the support of the auditor, ensuring compliance with other financial reporting requirements that are prepared by COSPA’s Accountant and Treasurer.

•Provide efficient and effective management of capital and operating expenditures

D) Effectively Promote the Organization

•Ensure the Marketing Plan is implemented and serve as spokesperson for COSPA in all media, community, and partnership inquiries

•Ensure the activities of the organization, its programs and goals are effectively publicized which includes ensuring relevant social media and online communications

•Represent COSPA at community and local activities to enhance the organization’s community profile.

•Actively promote the organization to key partners and stakeholders, current and potential patrons

•Develop and manage customer feedback survey’s and provide reports and recommendations to Board and Pool Managers based on findings

QUALIFICATIONS AND EXPERIENCE

•Minimum of a two-year Diploma in Sports/Recreation/Leisure Management, Business Administration, or related field.

•5+ years of progressive management experience working in the aquatic/recreation field is highly desirable

•Experience and/or education with budgeting and providing financial management

•Well-developed interpersonal, communications and collaboration skills, and a responsive approach with stakeholders and patrons

•Proactive, self-starter who can effectively manage the details while focusing on long term goals.

•Solid social media & computer software skills proficient at using G-Suite, Microsoft Office, financial and data management software (e.g. Excel), and various virtual collaboration tools (e.g. Zoom, Google Meets, etc.)

•Current driver’s license and access to a vehicle (mileage is reimbursed within Calgary)

✓Hybrid working environment, with flexible hours (depending on the season) working an average of 25 hours per week

✓3 weeks paid vacation (pro-rated) + Statutory Holiday pay

✓Hourly Salary: $40-$45/hr dependant on qualifications and experience

✓Personal Spending Account of $1200 per year
